Who we are

What we collect, and why

The free selling guide. If you request it, we collect your first name and email address. They go to our email platform (Mailchimp), which sends you the guide and occasional emails from us about selling and property in the Oswestry area. Every email has an unsubscribe link, and unsubscribing stops them immediately. Legal basis: your request and our legitimate interest in following it up.

The Renters’ Rights checker. Your answers are processed entirely on your own device and are never sent to us or stored anywhere. We only hear from you if you choose to email or call us afterwards.

Instant valuations. Our valuation page links to a form run by Homeflow on its own website. Homeflow collects the property and contact details you enter there and sends valuation enquiries to The Property Experts for follow-up. Homeflow's own privacy policy applies to its form. You can choose to call us for a market appraisal without using the online form.

Enquiries. If you contact us by email, phone or WhatsApp, we keep the correspondence for as long as needed to help you and for up to 2 years afterwards, then delete it. Legal basis: responding to your enquiry and our legitimate interest in keeping a record of it.

Derwent House viewing feedback and offers. We collect the details you enter in those forms, including your contact details, feedback, offer amount, buying position and any identification document you choose to upload. The forms send this information to Less Annoying CRM, which keeps the submission in our customer records and emails us a notice. We use it to discuss your viewing or offer and to progress a potential sale. We do not add you to marketing emails from these forms. Our basis is our legitimate interest in managing enquiries and offers, and legal obligations where identity checks are required. We keep the details while needed to handle the sale and related enquiries, then for any applicable legal record-keeping or claim period. We keep identification documents only while needed for identity checks and related legal duties.

Compliance service clients.If you engage our tenancy-compliance service, we hold your business contact and billing details as controller (legal basis: the contract), and we process your tenants’ data, including names, addresses, tenancy dates and served status, only on your instructions, as your processor, under the written data-processing terms in our client agreement. We return or delete that data when the service ends.

Who else touches the data

Our website and systems are hosted by Vercel, which also provides anonymised, cookie-free website measurements, including page visits and where visitors came from. Guide emails run on Mailchimp, viewing and offer forms run on Less Annoying CRM, and our email runs on our business email provider. They process data for us under their own contractual safeguards. The instant valuation form is hosted by Homeflow on its own website. We do not sell personal data or run advertising cookies on this site.

Less Annoying CRM hosts data in the United States and states that its data processing terms include standard contractual clauses for international transfers. Its forms use Google reCAPTCHA to limit spam; Google’s privacy terms also apply to that service.

Your rights

You can ask us for a copy of your data, ask us to correct or delete it, object to or restrict our use of it, and withdraw consent at any time: email morgan.nunns@thepropertyexperts.co.uk and we will respond within one month. If you are unhappy with how we handle your data, you can complain to the ICO at ico.org.uk.
